Use Flair Doctor

Use Flair Doctor to find and repair patterned data or configuration problems in your Salesforce organization. Each doctor targets a defined flair data area.

Who can use this?

Salesforce Admins and HR Admins with the Flair Doctor permission set in the flair HR app on Salesforce.

Before you begin

  • Assign the Flair Doctor permission set to the user who runs the tool.
  • Identify the affected records and the problem that you expect the doctor to repair.
  • When a scan is available, review its results before running a repair.
  • For a large production repair, back up the affected data and test the doctor in a Sandbox first.

Open Flair Doctor

  1. In Salesforce, open the flair HR app.
  2. Open HR Admin.
  3. Find and open Flair Doctor.

The exact location can vary. If Flair Doctor is missing, confirm that the user has the Flair Doctor permission set.

Choose a doctor

DoctorWhat it checks or repairs
Employment DoctorAligns an employee's Manager field with the manager defined by the employment term. It uses the same service as Employee Triggers.
Absence Allowances DoctorFinds and removes duplicate allowances with the same date and amount, subject to its preservation rules.
AutoBreaks Deduction DoctorValidates automatic-break deduction configuration when deductions or time calculations are wrong.
Doctor MigrationsRuns migration validation and available fixes after a migration or when migrated data appears inconsistent.
Doctor Positions StructureValidates and repairs position structure and organizational hierarchy data.
Doctor Salary AccessChecks salary-object access and permissions.
Doctor WorkloadValidates and repairs workload assignments and calculations.

The available actions and level of detail differ by doctor. Review the displayed issues, and apply a fix only when the doctor offers one for the problem.

Repair employee manager fields

Use Employment Doctor when an employee's Manager field is empty or does not match the employment term.

  1. In Flair Doctor, select Employment Doctor.
  2. Review the employees with Manager field issues.
  3. Run the displayed repair action.
  4. Refresh the employee record.
  5. Confirm that the Manager field now matches the employment term.

The repair follows the same business logic that Employee Triggers use during normal employee-record updates.

Remove duplicate absence allowances

Absence Allowances Doctor identifies allowances with the same date and amount. Its removal logic:

  • Preserves an allowance connected to a time balance withdrawal because that allowance would regenerate if deleted.
  • Removes a duplicate that is not connected to a time balance withdrawal.
  • Preserves allowances with no date, even when they otherwise appear to be duplicates and are not connected to time balance.

The Remove action deletes duplicate allowance records. Review the scan count and affected employee categories before you run it.

Scan for duplicates

  1. In Flair Doctor, select Absence Allowances Doctor.
  2. Click Scan. The doctor checks every employee's absence categories by date and amount.
  3. Review the number of duplicates that the doctor can remove.

The scan can take longer in a large Salesforce organization.

Remove the duplicates

  1. After you review the scan results, click Remove.
  2. Wait for the confirmation message with the number of removed duplicates.
  3. Refresh the affected employee's absence allowances.
  4. Confirm that connected allowances and allowances without dates remain.
  5. Confirm that the final count matches the scan result.

For example, if an employee has seven allowances and the doctor removes two duplicates, five should remain.

Run another doctor

For AutoBreaks Deduction Doctor, Doctor Migrations, Doctor Positions Structure, Doctor Salary Access, or Doctor Workload:

  1. In Flair Doctor, select the doctor that matches the affected data.
  2. Run the available validation or scan.
  3. Review every reported issue.
  4. Apply an available fix only when it matches the problem.
  5. Refresh the affected records, and verify the result.

Use Flair Doctor for patterned problems across multiple records. Use a manual correction when one record requires business judgment.

Troubleshooting

Flair Doctor is not available

  1. Confirm that the user has the Flair Doctor permission set.
  2. Confirm that the user is in the correct location in the flair HR app.
  3. Ask a Salesforce Admin to review the user's access.

A doctor does not fix the issue

  1. Compare the problem with the doctor's behavior in Choose a doctor.
  2. Check the affected records for another underlying issue.
  3. Use a manual correction for an isolated edge case.
  4. If the issue persists, contact flair Support.

A repair produces an unexpected result

  1. Review the records changed by the doctor.
  2. Compare the changes with the doctor's documented behavior.
  3. Verify related employee, absence, position, salary, or workload records.
  4. If your backup supports it, restore the affected data.
