Manage dictionaries

Dictionaries hold the values that selected flair fields offer, such as an employee's religion, a job's category, or a ticket's subject. Maintain them in one place so every form, the Employee Hub, and the mobile app show the same values in each language.

Who can use this?

HR Admins in the flair HR app in Salesforce. The Dictionaries tab requires the HR Manager custom permission, which Flair Manager and Flair Employee Management include.

Open the Dictionaries tab​

  1. In Salesforce, open the flair HR app.
  2. Open HR Admin.
  3. Click the Dictionaries tab.
  4. In the list on the left, under HR, select a dictionary. Its items appear with their English, German, French, Norwegian, and Spanish values, and the Active and Packaged checkboxes.

If you see a message that you don't have permission to view the page, your user doesn't have the HR Manager custom permission.

Review the available dictionaries​

Each dictionary feeds these fields:

Add a dictionary item​

  1. On the Dictionaries tab, select the dictionary.
  2. Click Add item. The Add new item window opens.
  3. If the dictionary depends on another one, select the parent item in the parent dictionary's field. For example, a Job Subcategory item needs a Job Category.
  4. In Dictionary Name, enter the item's name.
  5. Optional: In Code, enter an integration code, such as the DATEV activity key code used in field mapping.
  6. Optional: Enter the translations in English, German, French, Spanish, Norwegian, and Russian.
  7. Click Add. The item appears in the list as active.

Standard Salesforce forms show the Dictionary Name. flair's own forms, the Employee Hub, and the mobile app show the value in the user's language, as the Dictionary item in multiple languages note in the window explains.

For a dependent dictionary, Add stays unavailable until you select a parent item and enter a name. The Parent column in the list shows each item's parent.

Edit a dictionary item​

You can edit only items your organization added. Items that flair ships with the package are marked Packaged, and their edit and delete icons are unavailable.

  1. On the Dictionaries tab, select the dictionary.
  2. In the item's row, click the edit (pencil) icon. The Edit item window opens.
  3. Change the name, code, or translations.
  4. Click Add to save the changes.

Activate or deactivate a dictionary item​

Deactivate an item so it can no longer be selected in most fields that use the dictionary, without deleting it. You can deactivate packaged items too.

  1. On the Dictionaries tab, select the dictionary.
  2. In the item's row, click the crossed-out eye icon (tooltip: Deactivate). The Active checkbox clears.
  3. Optional: To reactivate the item, click the eye icon (tooltip: Activate).

Delete a dictionary item​

flair deletes the item as soon as you click the delete icon, without asking for confirmation. Deactivate an item instead when records already use it.
