Manage company-wide notifications in HR Admin
The Notifications tab in HR Admin lets you decide, for the whole company, which notifications go out on which channel. Employees keep their own settings for everything you leave on. This guide covers the channel switches, pausing all notifications, comment rules, and email delivery.
HR Admins in the flair HR app in Salesforce. Changing settings requires the HR Manager custom permission, which the Flair Employee Management and Flair Manager permission sets include. Without it, the tab shows the settings read-only with the note You can view these settings but not change them.
Open the Notifications tab
- In Salesforce, open the flair HR app.
- Open HR Admin.
- Click the Notifications tab. It has three sub-tabs: Channels, Comments, and Email delivery.
Switch notifications on or off per channel
The Channels sub-tab lists every notification type, grouped by area such as Absences, Time Tracking, or Workflows. Each type has a column per delivery channel: Email, Slack, Mobile push, and Hub. The Slack column appears only once your company has connected a Slack workspace. A dash means the notification is not available on that channel.
- Optional: To find a notification, type in Search notifications, or pick a channel in the Channel filter to show only that column.
- In the row of the notification, switch the channel off or on. flair saves the change right away for the whole company.
- Optional: To turn a channel off for every notification at once, use the switch in the All notifications row. The switches of the individual notifications keep their values and apply again when you switch the channel back on.
Switching the Hub channel off removes the notification from the Hub's notification feed. Task notifications stay there whatever you switch off, so approvers keep their pending work.
Read the note under each switch
| Note | Meaning |
|---|---|
| Required | The notification is required for the product to work. You cannot switch it off. |
| Always on | Employees cannot opt out of this channel; only the company-wide switch controls it. |
| Employees can opt out | The notification is on, and each employee can turn it off in their own settings. |
| Off for everyone | You switched it off for the whole company, so nobody receives it on this channel, whatever their own settings. |
| Channel off | The channel is switched off in the All notifications row. |
| Paused | All notifications are paused (see below). |
| Off in Setup | The channel is switched off for this notification on its Notification Type custom metadata record in Salesforce Setup. To turn it back on, clear the matching Disabled checkbox on that record. The tab cannot switch it back on. |
Pause all notifications
Use Pause all notifications to stop every notification on every channel at once, for example while you test or migrate data.
- On the Notifications tab, switch on Pause all notifications.
- In the confirmation dialog, confirm. A banner shows that all notifications are paused.
- To resume, switch Pause all notifications off again.
While notifications are paused, Hub invitations, login links, and signature requests still go out, and pending approval tasks stay visible in the Hub.
Choose who is notified about comments
Everyone already in a comment thread, and anyone mentioned in a comment, is always notified. The Comments sub-tab lists the rules that decide who else hears about a comment on a record, with the Record and Who gets notified for each rule.
- To stop a rule from notifying the people it finds, switch it off in the Notify column. The comment itself and who can see the record are unaffected.
Set the sender and template for emails
The Email delivery sub-tab sets the sender address and email template that employee notification emails use. You set a Default for everyone and can override it with a row per entity, which applies to employees whose Entity matches. For the steps, the fallback order, and troubleshooting, see Set the email sender and template per entity.
