Manage recruiting settings in Recruiting Admin
The Recruiting Admin page in the flair Recruiting app collects recruiting settings in one place. This guide covers each of its tabs: shortcuts to recruiting setup, candidate email senders, scheduled email defaults, integrations, dictionaries, and privacy and data retention.
Recruiters and Salesforce Admins in Salesforce with the Flair Recruiter, Flair Recruitment Management, or Flair Manager permission set.
Before you begin
- You have the Flair Recruiter, Flair Recruitment Management, or Flair Manager permission set. Without one of them, the page shows You don't have permission to view this page.
Open Recruiting Admin
- In Salesforce, open the App Launcher (⋮⋮ grid icon) and select flair Recruiting.
- In the navigation bar, click Recruiting Admin. The page opens on the General tab.
Find a recruiting setup page
The General tab links to the records and Salesforce Setup pages you use to configure recruiting. The links are grouped into Templates, Sourcing, Referrals, and Salesforce Setup, for example Evaluation Templates, Application Sources, Career Portals Setup, and Candidate Fields (Funnel Stages, Rejection Reasons).
- In Recruiting Admin, open the General tab.
- In the Quick find search box, enter part of a link name, such as
templates. Only matching links stay visible. - Click a link. Its page opens.
Set the sender for candidate emails
On the Candidate Emails tab, each row sets the email template and sender address that flair uses for automatic emails to candidates of one entity.
- In Recruiting Admin, open the Candidate Emails tab.
- Click New. A new row appears.
- In Name, enter a name for the row.
- In Template, select the email template.
- In Email, enter the organization-wide email address to send from.
- In Entity, select the entity the row applies to.
- Click the row's Save.
To remove a saved row, click its Delete.
Set scheduled email defaults
On the Scheduled Email Defaults tab, each row preselects the template, sender, and timing for new scheduled emails in one entity. A row has the same Name, Template, Email, and Entity fields as a candidate email row, plus Schedule and Schedule offset. You add a row with New and save it with the row's own Save.
For the full procedure, see Set Schedule Email defaults.
Manage recruiting integrations
The Integrations tab shows your connected integrations and tiles for the recruiting-relevant providers: VONQ, BYOC, JOIN, the Recruiting API, communication, CV parsing, AI, eSign, and DocGen. The full list of integrations is in HR Admin. The tab has no Save button.
To connect flair AI, see Enable flair integrations. To connect JOIN, see Connect JOIN to flair Recruiting.
Manage recruiting dictionaries
The Dictionaries tab lists the recruiting dictionaries: Industry, Job Category, Job subcategory, Seniority, Education Level, and Employment Type. You add an entry in a dialog, and you can show, hide, edit, or delete each entry from its row. The tab has no Save button.
For details on dictionary entries, see Manage dictionaries.
Configure privacy and data retention
The Privacy & Data Retention tab controls automatic anonymization, the candidate traffic lights, and the default language for candidate notifications. A banner at the top shows that anonymization runs every night at 1:00 AM, whether it's on for candidates and talents, and a View candidates due for anonymization link.
When you change a setting, a footer with Cancel and Save appears at the bottom of the page. Settings on this tab are saved together.
Set up candidate anonymization
- In Recruiting Admin, open the Privacy & Data Retention tab.
- On the Candidate anonymization card, set the toggle to On.
- In Without consent (months), enter how many months after applying a candidate is anonymized. Most companies use 6.
- In With double opt-in consent (months), enter the period for candidates who confirmed consent. It's also counted from when the candidate applied.
- Under Also delete when a candidate is anonymized, select what flair deletes along with the personal data: Documents — CVs, cover letters and other uploaded files, Activities — emails, tasks and logged calls, or Chatter posts — comments your team posted on the candidate.
- Check the In short summary. It states the periods and what is also deleted, and it can show how many records today's data would anonymize.
- Click Save. If the change widens what gets deleted, a Confirm data retention change dialog shows how many candidates and talents would be anonymized. Confirm to save.
Anonymization can't be undone. Shortening a period, selecting an extra item to delete, or turning anonymization on can anonymize records at the next nightly run.
Set up talent pool anonymization
The Talent pool anonymization card applies to talents in your talent pool when their consent expires or is withdrawn.
- On the Talent pool anonymization card, set the toggle to On.
- Under Also delete when a talent is anonymized, select Documents — CVs and other uploaded files, Activities — emails, tasks and logged calls, or both.
- Click Save.
Set the candidate traffic lights
The Candidate traffic lights card flags candidates who have waited too long in the same pipeline stage.
- In Green below (days), enter a number of days. Candidates who have waited fewer days show green.
- In Yellow up to (days), enter a number of days greater than or equal to the green value. Candidates who have waited longer show red.
- Check the color bar under the fields. It shows the days for Green, Yellow, and Red.
- Click Save.
Set the default candidate language
- On the Candidate notifications card, in Default candidate language, select a language. A candidate's own language always wins when it's set.
- Click Save.
